Why does it say [scanned] in my email subject line?

All emails are being scanned by an Anti-virus software. This means your email is virus-free and safe to open.

Why do I get a message saying my email account has reached its limit?

Your system is alerting you that you have reached the limit of storage in your email account. You need to empty your deleted items folder, sent items folder or make some space in your inbox.

I've deleted lots of messages but I still seem to be over my quota.

Some possible reasons:

  • You may not have successfully purged the items you have marked for deletion.
  • You have deleted numerous small messages, but one or more large ones remain.
  • New messages that were waiting to be delivered have now arrived and filled up your inbox again.
  • You may not have successfully purged the sent items folder.

Can I get my email account increased?

All email accounts have a fixed quota and it can not be increased.

What is the maximum size of message I can send?

There is a 10 mb size limit on a message. Note that email Attachments increase in size by around a third when sent, so the maximum size of a file that can be attached to a message is actually around 7mb.

I am trying to send out an email, but keeps going to my outbox.

Some possible reasons:

  • The email has exceeded the size limit.
  • The attachment size has exceeded the size limit.
  • Your email might be offline.

Messages sent to me don't arrive.

If the sender gets an error response, this may indicate the nature of the problem, for example:

  • Virus alert - the message contained a virus and was intercepted by the district email scanning system.
  • The sender's email account does not have sufficient free space for the message to be delivered. To free up some space unwanted messages must be deleted and purged.

If the sender receives no error response, it could be that:

  • The message was actually delivered but was intercepted by the junk-mail filtering system - your junk-mail filter settings may be too low.
  • Your mailbox may have been over quota when the message arrived. The mail system will periodically retry to deliver the message, so clear out some old messages and wait for the message to be delivered on the next attempt.

Why do I get messages replying to emails I never sent?

This is usually caused by a virus or malware, most often on someone else's machine. The virus or malware trawls the machine for email addresses which are then used to send out infected messages to random recipients which appear to come from randomly chosen senders. The apparent senders may then get replies from the targeted recipients, or failure messages if the emails could not be delivered for some reason.

How do I stop getting junk mail?



Using the junk-mail filtering options in Outlook, under the Actions menu, in Outlook Web Access, under the options tab, should significantly reduce the amount of junk mail that arrives in your inbox. However, some messages do not contain sufficient indicators to mark them as junk mail. For example, they may contain deliberate misspellings of certain inappropriate words. If any such messages are sent from a consistent email address, you can block the sender under the junk-mail options.

Some junk-mail displays messages without me even opening it.


Some email programs automatically display a message's content in a 'preview pane' before you open the message. However, there is usually a configuration to stop this from happening, for example:

In Microsoft Outlook 2003:

Under the View menu go to reading pane and select "off".

In Outlook Web Access:

Under the Outlook Web Access toolbar, click the reading pane and select "off".
